The changing workplace: mobile workers, consumerization, telecommuting and remote work are all changing the very nature of how and where work gets done. As a result, the definition and design of the organization (with part time and telecommuting workers), and even the physical office, changes. What is the impact of workplace transformation, mobility, cloud and changing work patterns and how does IT respond?

This is a guest post from Megan Webb-Morgan of Resource Nation

More than three-quarters of companies with 50 or more workers were offering flexible schedules in 2008, according to research from the Families and Work Institute. As flexible work schedules – in which employees work at non-traditional hours, times, or places in order to attain better work/life balance – become more common, the question becomes: How do companies manage these workers?

From cloud based document management to the right mobile phone options, the right technologies need to be in place.

Cloud-Based Software

Employees who work flexible schedules may simply work different hours than their colleagues in order to have a schedule that is more convenient for their lifestyle, such as working 7 to 3 instead of 9 to 5. However, more and more flexible workers are utilizing emerging technologies like tablets, smartphones, and public wi-fi in order to complete some of that work remotely. For example, flexible employees may:

Clear out their inbox in the morning before they leave for work.

Leave work in the early afternoon, and then spend an hour or two finishing up projects at night.

Work from home one day a week.

No matter where employees are located when they are completing work for your company, they need to have the same access to the business’s systems and documents. When your email server, documents, and software programs are stored in the cloud, employees can remotely access them whenever and wherever they choose to work.

84% of organizations use at least one cloud-based application already. Of the programs they store on the cloud, 50% use email, 39% file storage, 37% office productivity suite, and 36% web conferencing.

The top benefits experienced by cloud users include consolidated IT infrastructure (48%), reduced IT energy consumption (49%), “anywhere access” to documents and applications (49%), and reduced IT capital requirements (52%) (CDW).

Mobile Devices

Tablets and smartphones lay the groundwork for greater flexibility in both schedules and work locations. According to a recent Cisco study, 47% of organizations want to support more mobile devices, 46% plan to extend their internal systems for mobile access, and 31% plan to support more mobile apps for their employees.

When employees use mobile devices for work, they are always available – and not only for phone calls. They can text their managers and coworkers, read and respond to their email, access files and programs, access the employee intranet, and use a wide variety of work-related apps that can help them complete tasks more effectively.

Implementing attendance software that can be used via mobile app, for example, will improve the entire process for both you and the employee.

Enterprise Social Networks

For business that employ flexible workers or have a large workforce, keeping everyone on the same page can be difficult. That is why enterprise social networks – known collectively as “Facebook for business” – are becoming increasingly popular among many organizations. Employees and managers can use these internal company networks to communicate:

Employees can post what they’re currently working on, invite comments from experts within the company, and coordinate with their colleagues on team projects.

When everyone posts daily or weekly updates on the network, managers can keep track of everyone’s progress no matter when or where they did the work.

Office culture, which can suffer under flexible schedules and remote workplaces, can be preserved and preserved by giving the entire company a virtual space to meet, plan, discuss, and socialize.

For organizations with dispersed teams, tools like mobile devices, cloud programs, and social networks provide a way to accelerate information sharing, team building, and worker management across various schedules and work locations. With the right tools in place, businesses can not only improve how they manage their flexible workers, but also improve communication and productivity levels.
